Year-end stocktake for independent shops
Convenience store, off-licence, newsagent or grocery shop: if you run the shop yourself, the year-end stock figure is yours to produce, not a head-office report. Here is what the count covers and how to get ready for it.

What the shop year-end count is for
A year-end stocktake supports the stock figure used in your accounts. It is the number your accountant works from, so it needs to describe what was actually in the shop at the cut-off, not what the till roll suggests should have been there.

What a small shop count covers
A neighbourhood shop holds stock in more places than the selling floor. The visit takes in:
- Shelving, gondolas, hanging stock and counter displays.
- Chilled and frozen cabinets — counted with the same care as ambient stock.
- The stockroom, cages, and display stock kept out of the selling area.
- Held stock and invoiced stock, agreed with you before the count starts.
We count by hand where labels are missing or unsuitable, and use handheld EPOS barcode scanners where your barcodes and stock file support it. Preparing your shop
Shop floor and stockroom
- Put away recent deliveries rather than leaving them on pallets in the aisle.
- Keep walkways and chillers reachable so nothing has to be moved twice.
- Point out stock held away from the main floor — a back room, a cage, a container, a van on site.
- Flag fragile, high-value or restricted lines before the team arrives.
Systems and paperwork
- Have your product file or barcode data ready if you would like the count scanned.
- Decide how held stock, invoiced stock and any exclusions are treated, and agree it in advance.
- Pause deliveries and transfers where the shop can, so stock does not move mid-count.
- Keep recent delivery notes to hand for queries on the day.

What you receive, and when
You will be given a detailed summary of cost and retail value of the stock on the day. For a year-end count that summary gives you the stock-in-hand figure to pass to your accountant, and the same figures for your own stock control.
