Preparing a warehouse or retail premises for a count
Practical steps so a professional stock count on a UK shop floor or in a warehouse runs cleanly — without treating every site as the same procedure.
Why preparation matters
A stocktake measures what is physically present. Clear access, agreed exclusions, and usable product data reduce interruptions and make the same-day summary easier to use. Preparation is agreed when you book; it is not a single mandatory script for every premises.
The Stocktake: We come to your premises. You will be given a detailed summary of cost and retail value of the stock on the day.
Retail shop floor
- Clear aisles and till areas so shelves and gondolas are reachable.
- Unlock stockrooms, cages, and any back-of-house holding stock.
- Point out seasonal, promotional, or off-shelf displays that still hold sellable stock.
- Have a staff member who knows the layout available for questions.
- Confirm barcode readiness or expect a manual audit where coding is incomplete.

Warehouse and bulk areas
Warehouse sites vary widely. Before the day we discuss practical details for your premises. Typical planning points include:
- Count zones or locations — aisles, bays, racks, mezzanines, cages, quarantine
- Units of measure — each, case, pallet, and how mixed packs are treated
- Method — barcode scanning against your file where labels allow, or a manual audit
- Stock movements — how receipts, despatches, and picks during the window are handled
- Exceptional stock — damaged, returns, customer-owned, or unlabelled lines
- Reporting — the summary format you need for accountants, buyers, or control

Shared checklist before the visit
- Confirm date, purpose (transfer, year-end, or periodic), and who meets the team.
- Freeze or pause movements where practical so goods are not relocated mid-count.
- Have delivery notes and recent goods-in paperwork available for queries.
- Agree how held stock, invoiced stock, and exclusions will be treated.
