Why stock variances happen

Book stock and physical stock often differ. A professional count shows the gap clearly so you can investigate causes — without guessing numbers on this page.

What a variance is

A stock variance is the difference between what your system or books say you hold and what is actually on the shelves, in the stockroom, or on the racking when counted. Variances can be higher or lower than book; both matter for accounts, transfers, and day-to-day control.

An independent periodic or year-end stocktake (or a transfer count) establishes the physical figure. You will be given a detailed summary of cost and retail value of the stock on the day.

Common reasons the figures diverge

Process and paperwork

  • Goods received but not booked in, or booked in twice
  • Despatches, transfers between sites, or online picks not updated
  • Wrong unit of measure (case vs each) on receipts or adjustments
  • Pricing or barcode file errors that skew system quantities

Physical stock reality

  • Breakage, spoilage, or out-of-date lines still on the book
  • Slow-moving stock held off-shelf or in unmarked locations
  • Customer returns not put back to sellable locations
  • Possible theft or unexplained shrinkage

After a count you can review the result to identify where improvement can be made, including monitoring slow-moving stock, profitable stock, out-of-date stock and possible theft. That review habit applies after transfer valuations and after periodic counts.
